What we collect, why, and what you can ask us to delete.
Effective 27 July 2026
This policy explains what Mentionify (“we”, “us”) collects when you use mentionify.ai, why we collect it, and the choices you have. The short version: we collect what the product needs to work, we don’t sell it, and you can ask us to delete it.
What we collect
Account data
When you create an account we store your email address, your name if you provide one, and a salted hash of your password — never the password itself. Session cookies keep you signed in.
Project data
To run the service we store what you configure: your brand name, domain, the topics (questions) you track, and the results — the AI assistants’ answers, the analysis of those answers, and the aggregated metrics shown on your dashboard.
Free checker submissions
The free AI visibility checker asks for a brand name, a domain, a question, and your work email. We store that submission and its results. The email address lets us send you the result and follow up about the product. We do not add you to a mailing list without asking.
We do not store your IP address. A free, no-login tool still has to stop one visitor from draining the day’s capacity, so we derive a one-way fingerprint from your address that changes every day, and keep only that. It lets us count whether a check has already been run today; it cannot be turned back into an address, and because it changes daily it cannot be used to link your checks together over time.
Payments
Payments are processed by Bank of Georgia. Your card details go to the bank, not to us — we store the order reference, the package you bought, and the bank’s confirmation. If you enable auto-renewal, the bank stores your card under its own terms and we keep only the token needed to request the renewal charge.
Technical logs
Like most services we keep server logs (requests, errors, timestamps) for debugging and abuse prevention, and internal cost records for the AI queries the product makes on your behalf.
Analytics — only with your consent
With your permission — asked on the cookie banner, never assumed — we use Google Analytics to understand how the site is used. Until you accept, nothing is loaded and no data is sent to Google; if you refuse, we remember the refusal and don’t re-ask. You can withdraw at any time from the “Cookie settings” link in the footer. Details of every cookie involved are on the cookie policy page.
How your data is processed by AI providers
The product’s job is to send your tracked questions to AI providers — Google (Gemini), OpenAI (ChatGPT), and Anthropic (Claude) — and analyze the answers. The questions you configure (and, for the free checker, the question you submit) are therefore shared with those providers under their API terms. We send them the question text only — never your account details.
Service providers we use
Beyond the AI providers above: Resend delivers our email — password resets, security notices, and (if you keep them on) run reports and billing notifications; it processes the recipient address and message content to do so. Every non-security email carries an unsubscribe link, and the notification switches live in your account settings. Google Analytics runs only with your consent, as described above. The dashboard also loads competitor logos through Google’s favicon service, which means your browser requests those small images from Google; the request carries the competitor’s domain, not your data.
What we do not do
- We do not sell or rent your personal data.
- We do not run advertising or cross-site tracking of any kind — the only third-party measurement is Google Analytics, and only after you consent to it.
- We do not use your private project data to market to your competitors.
Retention
Account and project data are kept while your account exists — historical results are the product, so we keep them until you delete them or your account. Checker submissions and technical logs are kept only as long as needed for the purposes above.
Your rights
You can correct your name, sign-in email and billing details yourself at any time, from Account in the dashboard — and delete your account from the same page, without asking anyone. Deleting takes effect at the end of the period you have already paid for: your package keeps working until then, and on that date the account and everything in it — projects, tracked questions, runs and results — is erased from the live service. Residual copies in backups expire on the backup rotation. You can cancel a scheduled deletion any time before that date.
Two things deliberately survive it. Records of payments already made are kept for accounting, with your name and email detached from them. And our internal cost log keeps what each AI call cost us — tokens, model, timing — with your questions and the models’ answers stripped out.
For anything else — an export, or a correction somewhere we have not put a button — email info@mentionify.ai.
Cookies
Necessary first-party cookies keep you signed in, carry a checkout through registration, and remember your cookie choice itself. Google Analytics cookies are set only after you accept them on the consent banner. There are no advertising cookies. The full inventory — every name, purpose and lifetime — is on the cookie policy page, where you can also change your choice.
Changes
If this policy changes materially we will note the new effective date here and, for significant changes affecting account holders, notify you by email.
